TERMS AND CONDITIONS OF BOOKING for CHELLINGTON CENTRE 2010

The primary concern of ReachOut Plus is that people gain the maximum benefit from their stay at The Chellington Centre. In allowing a group to stay at The Chellington Centre it does so on the understanding that the safety of participants overrides all other concerns, and the activities taking place at The Chellington Centre do not compromise the position of ReachOut Plus as outlined in its Mission Statement.
ReachOut Plus exists to provide opportunities for people to develop their potential. It does this by offering resources for use by youth, voluntary and community groups, particularly ensuring access for people with special needs and physical disabilities.
TERMS:
1. DEFINITIONS
a. "The Directors" means ReachOut Plus (ROP). ReachOut Plus is a Charitable Association incorporated under the Companies Acts 1948 to 1980, whose registered office is Suite 3, Citygate, 17 Victoria Street, St Albans, Herts, AL1 3JJ.
b. "The Hirer" means the person or association completing and signing the booking form.
c. "The User" means the members of the group or family.
2. BOOKINGS
a. Booking conditions: The pricing structure outlines the charges with a minimum charge to be paid for on any booking and price per person in additional to the minimum booking number. The cost of gas, electricity and hot water are included in the price.
b. Provisional bookings: Due to the demand for the centre, a provisional booking can only be guaranteed for 14 days. After that it is at the discretion of the Directors how long it will be held without a confirmation deposit being received.
c. Confirmed bookings: A booking is confirmed upon receipt of a deposit of 20% from the hirer. The booking is confirmed in writing and the hirer will receive an invoice outlining the final payment details and the date the payment is due - usually by the eighth weeks prior to the stay at Chellington. If a booking is confirmed less than 9 weeks before the stay, the invoice will be for the full value of the booking.
d. Additional numbers or Equipment hire: The administrator (Telephone details on the contact page) needs to be notified of additional numbers and/or equipment hire at least 4 weeks before the stay at Chellington. These additions will be invoiced immediately.
e. Damage Deposit: A damage deposit of £200 is required from hirers and will be invoiced with the final payment invoice. Please report all breakages to the Coordinator upon leaving the centre. The hirer may be asked to pay for replacement or repair or a deduction will be made against the damages deposit for breakages.
f. Late Payment Charge: There will be a handling charge of 5% for late payment of invoices.
DISCLAIMER: A booking is confirmed on the understanding that should the Directors be prevented from honouring it due to circumstances outside their control, e.g. break-down, weather conditions or any other cause, they CANNOT GUARANTEE to provide an alternative booking date or venue, but ALL PAYMENTS shall be returned in full and neither party shall have any further claim against the other. The Directors reserve the right to cancel a booking at any stage without being liable for loss and without obligation to give reason.
3. INSURANCE COVER
The Hirer is responsible for ensuring that adequate insurance cover is in force to cover the users' activities during the period of use.
Exclusions and Indemnities
No responsibility is accepted by the Directors for:
a. Loss of time or expense through defect or breakages occurring;
b. Damage to or loss of property, baggage, personal injury and loss of earnings or any consequential loss or injury arising out of the negligence of the Directors.
c. Damage or loss of property from cars parked in The Chellington Centre car park.
The Hirer is advised to affect his own insurance in respect of all of the above matters. ReachOut Plus offer information on the 'Freetime' Holiday and Travel insurance. Ask for a leaflet when booking.
4. HEALTH AND SAFETY CONDITIONS
The Hirer agrees to comply with the Centre's Health and Safety Policy which can be made available upon request. Our greeter will show you the health and safety procedures and house rules on arrival at the centre.
Smoking: The Chellington Centre is a no smoking centre.
Alcohol and Drugs: There is to be no under-age drinking of alcohol. There must always be an adult fit to drive, and to deal with any emergency should it arise. The possession or use of any banned substances will not be tolerated. The Directors have the right to ask those responsible to leave the premises.
Child Protection: It is important that all hirers using The Chellington Centre have an adequate adult to young people ratio. It is important that consent and medical forms are obtained from the parents or guardians of every user (we can supply a form if required). Please have a copy of the group's register and contact list available for our greeter.
Pets: Pets (other than guide dogs) are not allowed inside the building.
Candles: The use of candles is prohibited in the bedrooms and Ibbett Room. Use is permitted elsewhere under strict adult supervision.
Camp Fires and Barbeques: Fires are only to be lit within the designated barbeque and fire circle.
First Aid: The Hirer is responsible for the provision of appropriate First Aid cover and equipment. An Accident Book is provided; it is a legal requirement that this is completed if an accident occurs. A sealed First Aid box is provided which may be used if necessary but a charge of £25 will be made.
5. DOMESTIC CONDITIONS
Bedding is not provided, please bring your own sleeping bags, sheets, pillows, blankets etc. A charge will be made for any Chellington bedding used.
Catering: The Chellington Centre is self catering. The Director can assist you in finding an outside caterer but is not be responsible in any way for the provision or payment in this private agreement between hirer and caterer.
On Departure: The Chellington Centre will be inspected after each group has left and the Directors reserve the right to levy a charge for costs of cleaning and clearance - Including food in the fridge and rubbish in the bins - See Cleaning schedules.
6. ADDITIONAL CONDITIONS
The Directors reserve the right to add such further conditions or rules as they may reasonably consider necessary relating to the Hirer's booking and may also from time to time waive and modify any of the above Terms and Conditions providing reasonable notice is given to the Hirer and if circumstances allow.
The Directors reserve the right to exclude person or persons not adhering to the terms and conditions of hire and ask them to vacate the premises.
